We are now recruiting for a Document Administrator to prepare and upload documents to our Document Management System on SharePoint and to assist with the production and creation of a technical library with all of the latest versions of infrastructure documentation.

In addition to this as our Document Administrator you will be responsible for:

Document Management – Collecting groups of documents from various projects on the network drive in preparation for uploading and identifying existing groups of documents.

Data Baseline – Collecting existing data spreadsheets, categorising and reviewing them with engineering teams and developing any new documents.

Classifying Documents – Using the document classification reference to add the relevant metadata to each document record.

Uploading to SharePoint – Directly or using a bulk upload tool e.g. Sharegate or obtaining services of a third party to do this.

Scanning – Working with document scanning service providers to scan and organise infrastructure maintenance records. 

To be successful in this role, it is essential that you have:

  • A good level of IT knowledge.
  • A sound understanding of business processes and working with database systems.
  • Experience in using Excel for business processes and strong experience in data entry.
  • Excellent interpersonal skills coupled with great verbal and written communication skills.

It would be great if you had experience working with document management systems and a familiarity with light rail systems but this is not essential.
